The protection and security of your personal data is a matter of key importance for us. veenion GmbH undertakes, with regard to running its websites under the domain http://www.veenion.de, to comply with the laws on data protection, particularly the provisions of the Federal Data Protection Act and the Telemedia Act.


All data which you provide to veenion GmbH will, of course, be treated confidentially. We will generally not make your data available for third-party use unless you have declared your consent to do so, or unless we are obliged to disclose such data on the basis of an order issued by an authority or court, or if such disclosure is necessary to allow you to make full and proper use of our websites.

Your personal data will only be gathered, stored, processed and used in accordance with the following data protection declaration.

When accessing veenion GmbH's websites (http://www.veenion.de and http://www.veenion.com), veenion GmbH does not gather, store, process or use any of your personal data. However, certain data is generated and temporarily stored in a log file on our server for the purpose of data protection, which may allow identification (e.g. IP address, date, time and files accessed). This user data will be anonymously analysed for statistical purposes by way of internal inquiries into user interests and user behaviour. This user data will not be analysed in order to create personal use profiles, unless you have explicitly consented to such use. This will not apply only in the event of improper accessing of veenion GmbH’s websites (http://www.veenion.de and http://www.veenion.com) or other illegal acts, which may be reported to the prosecuting authorities.

2. The collection of data of registered users of veenion GmbH’s websites  (http://www.veenion.de and http://www.veenion.com)

If you would like to use services requiring registration in connection with the Internet offer of veenion GmbH’s websites (http://www.veenion.de and http://www.veenion.com), we will gather, store, process and use your personal data. Personal data within the meaning of the Federal Data Protection Act or the Telemedia Act consists of items of information on the personal or factual circumstances of a particular or identifiable natural person. User data consists of items of information such as the member name, the date of access and the duration of access.

Use of the announcement platform services and the offer wizard, which enable documents for tender procedures to be requested and offers to be submitted, requires registration.

During registration for this service we currently request the following information (items marked with an asterisk are required):

  • The name of the user’s company *
  • The user’s legal form *
  • Street and building number (current business address) *
  • Postcode and town/city (current business address) *
  • Country *
  • Relevant district court and commercial register number
  • Sector
  • Website address (if applicable)
  • Title *
  • First name of the authorised representative carrying out the registration *
  • Surname of the authorised representative carrying out the registration *
  • Function
  • E-mail address *
  • Telephone number *
  • Fax number
  • CPV code or CPV classification of the user

The services of our platform which require registration cannot be used unless the required information is provided. The additional information can be given on a voluntary basis. In the registration form, the required information and voluntary information, which can only be accessed by the owner of the profile and the administrator, are marked with a visible annotation. You can at any time add to, amend or change the compulsory or voluntary information in your user profile.

We also gather and store user data, such as the member name, business name, password and traffic and connection data, when the Internet is accessed, for example the IP address of the requesting computer and the access time and date.

Subsequently, subject to your consent, we may also use personal data provided by you to send you promotional messages (newsletters) or provide you with information on our Internet offer on veenion GmbH’s websites (http://www.veenion.de and http://www.veenion.com). You can unsubscribe from promotional messages at any time by e-mail via the link provided at the end of any e-mail sent to you.

3. Cookies

In order to improve the operation of our Internet offer we use “session cookies” on our websites (http://www.veenion.de and http://www.veenion.com). Session cookies are temporarily stored on the user’s hard drive by our server. This allows us to make our Internet offer more user-friendly. Session cookies contain data in encrypted form and cannot be directly read. After the end of a session, the session cookie automatically expires and is erased from your hard drive.

4. Commissioning third parties

If necessary, we can commission carefully selected companies or individuals, within the meaning of the Federal Data Protection Act, to take over or perform tasks on our behalf which are related to the objective specified in this data protection declaration. These may include computer centres or server operators. Such third-party companies can be allowed to access your data, provided that this is necessary for us to carry out our contract. Any other use is prohibited.

5. Encoding electronic offers and forwarding them to contracting entities

In connection with the use of the services available on our platform, particularly when offers are submitted, it may be necessary to pass your personal data on to third parties, such as the connected contracting entities. If we do not pass the data on in this way, you will not be able to make use of the services on the platform as the user.

The encoding of the electronic offers and participation requests submitted by you will be maintained until the lapse of the submission deadline set by the contracting entity. Only when that deadline lapses will the electronic offers or participation requests that you have submitted be accessible for the contracting entity. You may only use the documents and data of the connected contracting entities, obtained through use of the platform, for your own purposes. Passing the data on to third parties or using it for commercial purposes is not permitted.

6. Revocation and correction of data

You can, of course, at any time withdraw your consent for us to store your personal data stored or request that your data be corrected. You can also at any time withdraw your consent for us to gather and store further voluntary data. For security reasons, veenion GmbH will have to verify your identity before you can do so.

If you withdraw your consent to the storage, processing and use of your personal data, we will erase all your stored data forthwith.

Please note that the services requiring registration will then no longer be available.

In individual cases it is possible that, despite withdrawal of your consent, veenion GmbH will have the right to process your data on the basis of the provisions of the Federal Data Protection Act and/or the Telemedia Act, provided that the purpose of this is to achieve the objective of a contractual relationship or a similar relationship based on trust and/or if it is necessary to protect legitimate interests.

You also have the right to inspect at any time the personal data relating to you that is stored by us at no charge. If you wish to do so, please send a written request to that effect to the following address:

8. Data security

veenion GmbH exercises due care to ensure that your personal data is secure. Certain security procedures will therefore be employed to protect your data.

In order to also guarantee data security in your sphere, we particularly recommend the following measures:

  • Signature card, card-reading device, software-based certificate and your PC should be secured against unauthorised use and against signature-relevant data being affected by viruses, Trojan horses, etc.
  • Your system should be regularly checked to ensure it is functioning correctly. Please make sure that when you enter your PIN to use your signature card or the software-based certificate it, cannot be observed and that your PIN is not disclosed to other persons in any other way.

9. Changes to the data protection regulations

We reserve the right to change these data protection regulations at any time in compliance with the laws on data protection. We will inform you of any changes to these data protection regulations by e-mail at the address provided by you when signing in / registering.
